Finance & Administration Coordinator

Full-Time | Winnipeg, Manitoba | Hybrid

Agriculture in the Classroom-Manitoba (AITC-M) is seeking a highly organized, detail-oriented, and collaborative Finance & Administration Coordinator to join our team.

This full-time position is responsible for the day-to-day bookkeeping, administrative and database functions of the organization. The successful candidate will work closely with the Executive Director, Finance Controller and other members of the AITC-M team to support efficient and accurate financial and administrative operations.

This is a hybrid position, requiring one to two days per week on-site at our office/resource space, with the remaining workdays completed remotely.

Key Responsibilities

Bookkeeping & Finance Administration

  • Manage day-to-day bookkeeping activities, including accounts payable and accounts receivable.
  • Prepare and process vendor payments and employee expense reimbursements.
  • Prepare customer, membership and sponsorship invoices and monitor outstanding receivables.
  • Record deposits and other financial transactions in QuickBooks Online.
  • Complete monthly bank and credit card reconciliations.
  • Maintain accurate and organized accounting records and supporting documentation.
  • Support Program Managers with program-related payments, financial updates, and other finance requests as needed.
  • Support the Finance Controller with month-end and year-end processes, including audit preparation and required documentation.
  • Coordinate with the third-party payroll provider and maintain payroll-related employee information.
  • Administer employee benefits and RRSP contributions.
  • Assist with routine government filings and other annual financial administration.
  • Perform other finance-related duties as assigned by the Finance Controller.

Database & Donor Administration

  • Maintain DonorPerfect and other organizational databases, including donor, member, sponsor and stakeholder records.
  • Process donation information and issue donation receipts and acknowledgements.
  • Maintain accurate and up-to-date database records and supporting documentation.
  • Coordinate database information with QuickBooks Online and other organizational records as required.
  • Support membership and sponsorship administration.

Administration & Operations

  • Monitor general and administrative email accounts and coordinate inquiries with appropriate staff.
  • Coordinate office administration, purchasing, mail and general correspondence.
  • Assist with travel arrangements and other staff administrative needs.
  • Maintain organized electronic records and documentation.
  • Assist with Board meeting administration, including preparation and distribution of meeting materials.
  • Serve as an administrative contact for external service providers, including IT support.
  • Provide general administrative and operational support to the Executive Director and team as required.
  • Support maintenance of program and resource database contact information.
  • Manage the weekly shipping of program resources and materials.
  • Support AITC-M programs, events, resource packing and other on-site activities as required.
  • Coordinate logistics for staff meetings and other internal meetings, including meeting space and catering arrangements.

Employee Administration

  • Coordinate administrative aspects of employee onboarding and offboarding, including system access, equipment and benefits.
  • Manage employee timesheets and follow up with employees on missing or incomplete submissions.
  • Assist the Executive Director with employee documentation and other HR administration as required.

Qualifications & Experience

  • Post-secondary education or training in accounting, bookkeeping, business administration or a related field, or an equivalent combination of education and experience.
  • Minimum 5 years of bookkeeping and administrative experience.
  • Strong working knowledge of QuickBooks Online.
  • Strong Microsoft Office skills, particularly Excel, Word and Outlook.
  • Experience working with databases or CRM systems; experience with DonorPerfect is considered an asset.
  • Experience with payroll and employee benefits administration is considered an asset.
  • Experience working in a nonprofit organization is considered an asset.
  • Valid Manitoba driver’s licence and vehicle is required (mileage reimbursement provided for business use)

Position Details

Position: Finance & Administration Coordinator
Employment: Full-time, 5 days per week
Location: Winnipeg, Manitoba
Work Arrangement: Hybrid - one to two days per week on-site
Reports to: Executive Director
Salary: CAD $55,000 - $62,000 annually
